Six things the first message must contain

  1. The email the account is registered to, so the case can be matched to it.
  2. The date and time with the time zone, not «yesterday evening».
  3. The amount and the payment method.
  4. The transaction reference or hash, the only thing a payment provider can trace.
  5. A screenshot showing the error or payment status exactly as it appears.
  6. One closing sentence naming the outcome you are asking for, with no judgement and no threat.

Written channels are worth more than spoken ones because they leave a timestamped record that can be forwarded.
